Legal Case Manager

A San Antonio-based organization specializes in coordinating administrative support for physicians and healthcare professionals who provide expert opinions in legal proceedings. The company operates as a central point of coordination, connecting medical specialists with legal teams. Services delivered to these professionals include sourcing review assignments, coordinating schedules, securely transferring and maintaining case materials, facilitating communication with attorneys, and overseeing invoicing and payment processes.

Key Responsibilities

In this role, you will serve as the primary coordinator between legal representatives (attorneys and support staff) and healthcare professionals engaged in medical-legal work. Core duties include:

  • Acting as the main contact for assigned matters, ensuring clear and continuous communication between all parties
  • Organizing and maintaining schedules for calls, evaluations, depositions, and testimony appearances
  • Tracking case milestones and ensuring deadlines are met
  • Receiving, processing, and distributing medical records promptly while maintaining quality checks (e.g., file integrity, completeness, and accessibility)
  • Verifying that documentation provided is sufficient for clinical review and opinion development
  • Managing and preparing expert time records for accurate billing submission
  • Maintaining up-to-date information within the company's case management system
  • Remaining consistently accessible via phone and email to support timely case progression

Qualifications

  • Strong working knowledge of Microsoft Office tools, particularly Outlook and Word
  • Exceptional organizational skills with high attention to detail
  • Ability to manage multiple priorities in a deadline-driven environment
  • Effective communication and client service abilities
  • Comfortable working both independently and collaboratively
  • Able to adapt and perform efficiently in a fast-paced setting
  • 5+ years of experience working with medical experts in a legal or paralegal capacity
  • Associate degree or equivalent experience (preferred)
